Cornhill Companions operates under the Royal Voluntary Service (registered charity no. 1015988 & SC038924). For the purposes of data protection law, the Royal Voluntary Service is the data controller. Locally, Cornhill Companions is coordinated by Avis Gallager.

• Your name, phone number, and email address (when you contact us or use our website form)
• Information about the person being referred, including name, address, phone number, and relevant health or mobility details (when a referral is made)
• Volunteer application details, including name, contact information, and any relevant experience
• Attendance at events and activities

How we use your information

We use personal information to:

• Respond to enquiries made through our contact form or by phone
• Match volunteers with the people they support
• Coordinate visits, befriending calls, and event attendance
• Manage safeguarding responsibilities
• Keep in touch about our services and activities

Our legal basis for processing

We process personal information on the basis of legitimate interests (providing community support services to older people) and, where appropriate, your consent. You may withdraw consent at any time by contacting us.

Who we share information with

We may share information with the Royal Voluntary Service as our parent organisation. We do not sell or share personal information with any other third parties, except where required by law or in the interests of safeguarding.

How we keep your information safe

We store personal information securely and limit access to those who need it to carry out their roles. Our contact form is processed through Formspree, a secure third-party service that transmits your message to us. Formspree may retain submission data for up to 30 days.

How long we keep your information

We keep personal information only for as long as it is needed. For active clients and volunteers, we retain records for the duration of the relationship and for a reasonable period afterwards. Enquiries submitted through the contact form are kept for up to 12 months.

Your rights

Under UK data protection law, you have the right to:

• Ask us to delete your information
• Withdraw your consent at any time
